Privacy Policy
Effective November 6, 2026
Synap is a relationship manager that helps you keep up with the people in your working life. It is operated by Rampant LLC (“we”, “us”). This policy explains what we collect when you use synap.ai, app.synap.ai and the Synap iPhone and Android apps and integrations, why we collect it, and the choices you have. We will update this policy as the product changes.
The short version
- Your data is yours. We use it to provide, secure and improve Synap as described here.
- We do not sell your data, rent it, or share it with advertisers or data brokers.
- From connected mailboxes Synap reads basic metadata, including subject lines, participants and dates, but not message bodies or attachments.
- You can disconnect any account at any time, download a copy of your data, and delete your account yourself in Settings.
What we collect
Account details. Your email address and sign-in information. If you join the waitlist, we keep the email address you gave us. If you opt in to product updates, we keep a record of that choice and email you those updates; you can unsubscribe using the link in any update.
What you put into Synap. The people you keep track of and what you record about them: names, companies, contact details, important dates, notes, interactions, referrals, tags, groups, pipelines and deals, including deal amounts and currencies. Voice captures you record are turned into text; business card photos you take are read to fill in a person. Information about the people in your network is information you provide, and you are responsible for having the right to keep it.
Microsoft 365, when you connect it. With your permission through Microsoft’s own sign-in, Synap uses Microsoft Graph to:
- read and update your Outlook contacts, so people stay in step between Synap and Outlook;
- read basic message details (sender, recipients, subject line and date, using the Mail.ReadBasic permission) so that emails log themselves as interactions. Synap does not read message bodies or attachments;
- read your calendar events and attendees so meetings log themselves, and write important dates to a calendar named “Synap” in your account.
Other imports, when you use them. People you import from Pipedrive, Google Contacts or a contacts (.vcf) file. If you choose Google Contacts as the place Synap keeps people up to date, Synap also adds and updates the contacts of people you turn sync on for (name, emails, phones, company, title and birthday) in your Google account. In the iPhone and Android apps, we receive only the device contacts you select for import; the app does not upload your address book. If you choose your phone as the place Synap keeps people up to date, the app, with your permission, adds and updates the people you turn sync on for (name, emails, phones, company, title and birthday) in the phone’s Contacts when you open it. It reads your Contacts on the phone only to find those people, and it never removes or uploads other contacts.
Assistant connections. If you connect an AI assistant (such as ChatGPT) to Synap, we record the connection so you can see and revoke it. The assistant can then read and change your Synap data on your instruction.
Technical information. Basic logs our hosting providers keep to run and secure the service, such as IP addresses, browser type and request times. Synap also records account-linked screen visits, feature-use events, client type (web, iPhone or Android), timestamps and error categories for product analytics, reliability and our internal engagement dashboard. These usage events contain route patterns rather than contact-record IDs, and do not include the content of your notes. We do not use advertising trackers.
Support and feedback. When you contact us or send feedback, we receive your message, contact details and relevant app or browser details so we can respond. Feedback is delivered by email and may remain in our support mailbox separately from your Synap account; contact us to request its deletion.
How we use it
- To provide Synap: your Today view, reminders, Orbit cadences, follow-ups, pipelines and search.
- To prepare briefings and news alerts. For a briefing about a person or company, and for news about people in your closer orbits, Synap sends names and companies to search services and reads public web pages and news results. Briefings use public professional sources only; Synap does not buy people-search data or look up individual court records.
- To keep the service secure, fix problems, and reply when you contact us.
We do not use your data to train AI models, and we do not show you ads.
AI processing
Some features use language models: transcribing voice captures, reading business cards, suggesting follow-ups from notes, matching unknown email addresses, and writing briefings and news summaries. These requests go to Hoonify and Synap’s inference gateway, which we operate. The gateway also forwards matching and research-screening requests to TypeSafe (Jev). Depending on the feature, requests can include recorded audio, business-card images, contact details, notes, relationship history, relevant meeting context and public source material. These services are configured not to keep prompt logs. Synap does not use your content to train AI models. Synap does not send your data to consumer AI services.
AI processing and online research are optional and off until you opt in under Account settings. Online research sends relevant names, companies and professional context as search terms to Brave Search and GDELT, and retrieves pages from public source websites. After you opt in, some suggestions and research run automatically when you use Synap. You can turn either choice off to stop new requests; requests already sent may finish, and saved results remain until you remove them or delete your account. Manual notes, contacts, tasks and imports remain available without AI.
When you record audio for server transcription, Synap processes it for that request and does not store the original recording. Transcripts and any details you choose to save are stored in your account. If browser or keyboard dictation is used instead, your browser or device provider may process audio under its own privacy settings. Business-card photos you choose to save are kept with the contact. Please share only information you have permission to use; AI results can be wrong and should be checked.
Inference usage records. Separately from the content processed for inference, our gateway records application-level model usage, token counts, costs, request times, latency, status and server diagnostics for accounting, capacity planning and service management. These records identify Synap’s backend and application credentials, not individual Synap users; they do not contain end-user identifiers or prompt and response content. This is separate from the account-linked product analytics described under Technical information above.
Who helps us run Synap
We share data only with the service providers that run Synap on our behalf, and only what each one needs:
- Supabase, which hosts our database and sign-in;
- Netlify, which hosts the website and app;
- Microsoft, when you connect a Microsoft 365 account;
- Hoonify and TypeSafe (Jev), for AI processing as described above;
- Brave Search and GDELT, which receive search terms for briefings and news alerts;
- Postmark, which sends sign-in codes, invitations, feedback and account messages.
We may also disclose information if the law requires it, to protect people’s safety or our rights, or as part of a merger or sale of the business, in which case this policy continues to apply to your data.
Security
Data is encrypted in transit. Each account’s data is kept separate at the database level, and the tokens for connected accounts are encrypted before they are stored. No system is perfectly secure, and we will tell you promptly if a breach affects your data.
How long we keep it
We keep your account data while your account is open. When you disconnect an account, Synap stops reading it. When you delete your account (Settings, then Account), your account and the workspaces only you are in are deleted right away, and backup copies of that account data are deleted within 30 days, except where the law requires us to keep something longer. Account-data backups age out on their normal schedule.
Application-level inference usage and accounting records, which do not identify individual Synap users or contain their request content, are retained long-term without a fixed expiry for accounting and service management. These operational records and their backups are separate from account data and are not subject to the account-deletion schedule above.
Your choices and rights
- Disconnect Microsoft 365 or any other import from Synap, or revoke access in your Microsoft account settings.
- Review or withdraw AI and online-research permission in Account settings.
- See, correct, export or delete your data. Export and account deletion are in Settings, then Account; for anything else, email info@synap.ai and we will help within 30 days.
- Depending on where you live (for example under the GDPR or California law), you may have further rights, such as to object to processing or to complain to a regulator. We honor them for every user.
- If you are someone kept in a Synap user’s network and want to ask about your information, email info@synap.ai.
Where data is processed
Synap is run from the United States, and your data may be processed there and in other countries where our providers operate.
Children
Synap is a tool for working adults and is not meant for anyone under 18.
Changes
If we change this policy, we will update the date above and, for meaningful changes, tell you in the app or by email before they take effect.
